- There has been a near miss, falling stock incident or concern raised by an employee or operator.
Any impact damage should be reported immediately. The affected area should be assessed and, where necessary, unloaded and isolated until a competent person has confirmed that it is safe. Damaged components should not be straightened, welded or otherwise repaired informally, as this can alter their structural performance. Replacement parts should be suitable for the original system and installed in accordance with the manufacturer’s requirements.

- Documentation: drawings, inspection reports, load information, repair records and alteration details should reflect the installation as it currently exists.
A review may conclude that no physical update is required. In that case, the inspection findings should still be recorded, including any minor actions, responsible persons and completion dates. Keeping an accurate record makes it easier to identify recurring damage, demonstrate control of the installation and plan preventative maintenance.
Where an update is required, the work should be planned rather than carried out as an informal adjustment. First confirm the operational requirement and the loads involved. Then assess the proposed configuration, check compatibility with the existing warehouse racking and review the effect on aisles, access, handling equipment and emergency arrangements.
