Operators should report damage or unsafe conditions immediately rather than waiting for the next scheduled inspection. A quick start-of-shift check can also be useful in higher-risk areas, although it does not replace the documented weekly check or the formal expert inspection.

When is a formal inspection required?

A formal inspection should be completed by a technically competent person with suitable knowledge and experience of warehouse racking systems. This inspection is more detailed than a routine visual check. It considers the condition of the installation, the way it is being used, the loads stored, the surrounding activities and whether the system continues to be suitable for its intended purpose.

The inspection should follow the manufacturer’s information, the installation design and relevant workplace safety guidance. Where the warehouse racking has been modified, relocated or extended, the inspection should also confirm that the changes have been properly designed, installed and assessed. Alterations should not be made by moving or adding components without appropriate technical approval.

Inspect after an impact or change

It should also be reviewed after changes to traffic routes, handling equipment, load types or operating procedures.

Damaged components should not be straightened, welded, drilled or otherwise repaired on site unless the proposed repair has been assessed and approved by a suitably qualified specialist. Use should only resume when the installation has been assessed and any necessary repair or replacement has been completed.

Keep inspection records

Inspection records should show the date, area checked, person carrying out the inspection, findings, risk classification where used, actions required and the date of completion. Photographs, marked-up layout drawings and repair records can help identify recurring damage and demonstrate that reported defects have been managed.

Records also make it easier to spot patterns. Repeated impacts in one aisle may indicate inadequate protection, poor visibility, insufficient operating space or a need to review traffic management. Recurring overloading may point to unclear load notices, unsuitable storage practices or a change in the types of goods being handled.
