How often should warehouse racking inspections be conducted?

  • Bent, twisted or visibly damaged uprights, beams, braces, protectors and other components.
  • Missing, displaced or unsecured locking devices, clips, pins and safety accessories.
  • Loads that are unstable, incorrectly positioned or visibly beyond the stated capacity.
  • Items projecting into access aisles or creating a risk of falling.
  • Impact damage caused by forklift trucks, pallet trucks or other handling equipment.
  • Changes to the layout, component arrangement or load configuration that have not been authorised.
  • Obstructed aisles, damaged floors or other conditions that could affect stability or safe operation.

These checks do not replace an inspection by a competent person. Their purpose is to identify problems early and ensure that concerns are escalated before they become more serious.

  • Frequent forklift or other vehicle movements close to the storage system.
  • High levels of loading, unloading or stock movement.

  • Heavy, awkward or irregular loads that are more difficult to position safely.
  • Frequent changes to stored goods, load sizes or operating procedures.
  • Harsh conditions, including moisture, corrosion, temperature changes or poor visibility.
  • Systems that are old, heavily used or subject to previous modifications.
  • Workplaces where several operators or contractors use the same storage areas.

The inspection frequency should be based on a documented risk assessment rather than selected solely because it is convenient or customary. If the inspection history shows repeated damage, increasing the frequency may be necessary, alongside improvements to traffic management, operator training, protection or load control.

When an additional inspection is required

A further inspection should be arranged after a significant event or change, even if the next scheduled inspection is not due. This includes a collision, suspected overloading, movement of the system, substantial alteration, change of use or discovery of serious damage. An inspection is also appropriate if there is uncertainty about the suitability of a component, the stability of a load or the effect of work carried out nearby.

Where damage is found, the affected area should be assessed without delay. It may need to be unloaded, isolated or taken out of service until a competent person has determined what action is required. Repairs and replacement components should be suitable for the system and completed by appropriately experienced personnel. Damaged components should not simply be straightened, welded or reused without a proper assessment.

A competent person should assess the warehouse racking system systematically, considering both the physical condition of its components and the way it is being used. The inspection should normally include the structure, connections, protection, load signs, pallets, clearances and the surrounding working environment. It should also consider whether the system remains consistent with its design, operating instructions and stated load capacities.

The findings should be recorded in a clear report, with defects prioritised according to their severity and the action required. The report should identify the location of each issue, provide enough detail to support corrective work and state whether the area needs immediate control. Keeping inspection reports, photographs, repair records and follow-up actions together provides an auditable history and helps identify recurring problems.

  1. Complete a risk assessment that considers the system, workplace activities, traffic and load conditions.
