Start with visible damage. Check uprights, beams, bracing, connectors, baseplates, anchors and other load-bearing components for dents, bends, splits, distortion, corrosion or missing parts. Damage at the lower levels is particularly important because it can result from contact with handling equipment. Do not straighten, weld or modify damaged components as an informal repair. Isolate affected areas where necessary and arrange an assessment and suitable repair or replacement.

Review the stated safe working loads, beam levels, pallet dimensions, bay layouts and any design drawings or handover information available. Check that pallets are suitable, evenly positioned and not overhanging in a way that could overload beams or create an instability risk.

Load notices must be present, legible and located where users can see them. They should reflect the current arrangement, including changes to beam levels, bay widths or storage methods. If the layout has changed without a documented technical review, raise this before the inspection. A change that appears minor can affect the capacity and stability of the whole warehouse racking arrangement.

Review protection measures. Inspect upright guards, end-of-aisle protection, column protection and other protective equipment for damage, displacement or inadequate coverage. Protection should be securely installed and positioned to reduce the likelihood of contact from handling equipment. It should not obstruct access, interfere with beams or create additional hazards. Replace damaged protection promptly and investigate the cause of repeated impacts.

Make the working environment part of the preparation. Clear stored goods, waste, vehicles and equipment from inspection routes. Provide safe access to each bay, upright, beam level and protection measure, including areas that are normally difficult to reach. Keep aisles sufficiently clear for the inspector to view components and connections. Poor housekeeping can hide defects and may prevent a complete assessment, resulting in follow-up work.

Also check for environmental conditions that could affect the system. Look for leaks, standing water, corrosion, uneven floors, damaged floor surfaces, inadequate lighting and obstructions around access routes. Consider whether changes to traffic flows, handling equipment or operating practices have increased the likelihood of impact. These conditions may not be defects in the structure itself, but they can influence its safe use and ongoing performance.

Have the right information available. A smooth SEMA inspection is supported by accurate records, including:

  • previous inspection reports and evidence that reported defects were addressed;
  • installation, handover or design information where available;
  • current load notices and layout drawings;
  • records of repairs, replacements, alterations and component changes;
  • details of any restrictions, temporary controls or isolated areas; and
  • records of relevant user training and internal checks.

These documents help the inspector compare the installed warehouse racking with its intended design and understand its maintenance history. If records are incomplete, explain this in advance and provide whatever reliable information is available. Do not assume that an apparently sound installation can be assessed fully without access to its load and configuration details.

Before the inspection, ask warehouse personnel to report recent impacts, unusual movement, damaged pallets, unstable loads or changes in storage practice. A short internal walk-through can identify issues that are not obvious from ground level. Ensure that any area requiring immediate control is clearly marked and that staff understand not to use an isolated bay until it has been assessed and released.

Finally, treat the SEMA inspection as part of an ongoing safety process rather than a one-off preparation exercise. Continue with regular visual checks, record damage when it occurs, control unauthorised alterations and arrange repairs according to the assessed risk.
