  • Cracked, broken or uneven flooring around the feet of the racking.
  • Settlement, movement or gaps beneath baseplates.
  • Obstructions that prevent the frame from sitting correctly on the floor.
  • Evidence of water damage, chemical deterioration or other environmental effects.

Floor defects should be assessed alongside the condition of the warehouse racking. Simply tightening a fixing may not resolve movement caused by a damaged or unsuitable supporting surface.

Protection equipment and impact damage

Where frame guards, end-of-aisle protection or other protective equipment is installed, the checklist should confirm that it is present, secure and suitable for the risks in that area. Record:

  • Cracked, bent, displaced or missing guards.
  • Loose fixings and damaged mounting points.
  • Gaps that leave uprights or other vulnerable components exposed.
  • Impact marks on guards, frames, beams and nearby building structures.
  • Whether protection remains correctly positioned in relation to traffic routes and handling equipment.
  • Any repeated impact location that may indicate a problem with vehicle routes, visibility or working practices.

Protection equipment is not a replacement for safe vehicle operation. Repeated damage should be investigated rather than treated as routine wear, as it may indicate an underlying traffic-management or training issue.

Load information and safe use

A useful checklist should verify that the information needed to use the warehouse racking safely is visible, accurate and consistent with the installed arrangement. Include checks for:

  • Load notices that are present, legible and securely fixed.
  • Displayed capacities that match the current beam levels, bay arrangement and components.
  • Unauthorised changes to beam positions, bay widths or frame configuration.
  • Loads that overhang, project into access routes or exceed the available clearance.
  • Unevenly distributed, unstable, damaged or unsuitable pallets.
  • Items stored in a way that could fall, obstruct access or interfere with sprinklers, lighting or building services.
  • Clearance between stored goods, vehicles, structures and adjacent warehouse racking.

If the configuration or intended loading has changed, the capacity information should be reviewed by a suitably competent person before the system is used in the revised arrangement.

Housekeeping and the surrounding area

The checklist should also consider conditions around the warehouse racking, not just the steel components. Record whether:

  • Aisles, walkways and emergency routes are clear.
  • Spillages, waste, loose packaging or damaged pallets are removed promptly.
  • Lighting is sufficient to identify damage and handle loads safely.
  • Fire protection equipment, sprinklers and access points remain unobstructed.
  • Forklift routes, pedestrian routes and protective barriers are in good condition.

  • Requires prompt repair or restriction of use.

Only an appropriately competent person should decide how a damaged warehouse racking component is classified and what temporary controls are suitable. A damaged area should not be returned to service merely because the defect is no longer visible or because stock has been moved.

Repairs, follow-up and close-out

A maintenance checklist should provide a complete audit trail from discovery to resolution. For each action, record the repair specification, parts used, date completed, person or contractor carrying out the work, and the person who verified the result. Include a space to confirm that:

  • The repair was completed to an approved method.
  • Replacement components are compatible with the system.
  • Temporary barriers, warning signs or load restrictions have been removed only when appropriate.
  • Any affected load notices or drawings have been updated.
  • The repaired area has been rechecked before normal use resumes.

Review and record keeping
