Factors include frequent forklift movements, narrow operating clearances, high traffic levels, demanding loading patterns, poor visibility, uneven floors, corrosive or wet conditions, temperature extremes and a history of repeated damage. New staff, changes in working practices or evidence that defects are not being reported promptly can also justify more frequent checks.

Inspection frequency should therefore be recorded in the site’s risk assessment and supported by a clear procedure. The procedure should define who carries out routine checks, who completes the expert inspection, what defects must be reported, how unsafe areas are isolated and how repairs are verified before the equipment is returned to service.

Industry standards are best treated as a minimum control framework rather than a fixed timetable for every warehouse. A documented annual expert inspection may satisfy the maximum recommended interval in a lower-risk environment, while a busier or more frequently damaged system may require additional professional visits.
