What is the validity period of warehouse racking certification, and how often should reevaluations occur?
Warehouse racking certification has no single statutory expiry period; its validity depends on the inspection scope, system condition and issuing provider’s terms. As a minimum, warehouse racking should undergo a competent-person inspection at intervals not exceeding 12 months, with regular user checks and an earlier reevaluation after damage, alteration, relocation or any significant change in use.

An inspection certificate confirms the condition of the warehouse racking at the time of the examination. It is not a permanent approval and does not remove the need for ongoing checks. Warehouse racking can be damaged, overloaded, altered or affected by changes to the operating environment after certification has been issued.
For most sites, the normal review cycle is:
- Routine visual checks: completed by suitably trained employees at a frequency determined by the risks and working conditions. These checks should identify visible impact damage, displaced components, overloading, missing safety devices and other defects.
- Formal inspections: carried out by a competent person at least annually, or more frequently where the risk assessment, operating conditions, inspection findings or manufacturer’s guidance require it.
- Immediate reporting: any suspected damage or dangerous defect should be reported as soon as it is found. The affected area should be made safe, which may include removing loads or restricting access until a competent assessment is completed.
A warehouse racking reevaluation should also be arranged after a collision, structural damage, fire, flooding or another event that may have affected stability. It is required when the system has been extended, reconfigured, dismantled and rebuilt, moved to another location, fitted with different components or used with changed load requirements. Changes to handling equipment, traffic routes or operating practices can also justify an earlier review.
The inspection provider should state the examination date, the areas and components inspected, the findings, the required remedial actions and any recommended review interval. Where defects are recorded, the report should make clear whether they require immediate action, prompt repair or monitoring. The next inspection date should be based on the report and the site’s risk assessment rather than treated as an automatic renewal of the previous certificate.
It is important to distinguish certification from compliance management. Keeping a certificate on file does not demonstrate that warehouse racking has remained safe throughout the certificate period. Businesses should retain inspection reports, repair records, loading information, layout drawings where relevant, user-check records and evidence that reported defects were closed out.
To maintain compliance between formal examinations, businesses should:
- make the permitted load information clear and ensure loads remain within those limits;
- keep access aisles, working areas and protection equipment in suitable condition;
- ensure operators report impacts and visible defects immediately;
- prevent unauthorised alterations to the warehouse racking;
- record repairs and confirm that damaged components are suitable before the affected area is returned to service; and
- review inspection arrangements whenever the warehouse layout, equipment, loads or working methods change.
There may be circumstances where a provider recommends inspections more frequently than annually. Higher frequency can be appropriate where there is intensive vehicle movement, a history of impact damage, heavy or unusual loads, harsh environmental conditions, frequent layout changes or other evidence of increased risk. The competent person should explain the recommendation and document the basis for it.
Accordingly, an annual competent-person inspection should be treated as the maximum routine interval, not as a guarantee that certification remains valid regardless of subsequent events. If the inspection report specifies an earlier reevaluation or outstanding corrective work, those requirements take precedence. Where there is uncertainty about the current condition of warehouse racking, arrange a competent inspection before continuing to use the affected area.
