The inspector should understand the relevant standards and guidance, recognise when specialist assessment is needed and produce an objective report that the site can act upon. Independence and impartiality are also important, particularly where the inspection involves assessing previous repairs or changes.

- Structural condition: uprights, beams, bracing, connectors, footplates, anchors, guards and other components should be checked for impact damage, distortion, cracking, corrosion, missing parts and insecure fixings.
- Stability: the inspector should consider whether the warehouse racking is plumb, adequately anchored and braced, correctly configured and stable under its intended loading.

- Operating conditions: the inspection should take account of forklift movements, pedestrian routes, impact exposure, housekeeping, access, visibility and any site conditions that could affect safe use.
- Previous defects: outstanding items from earlier reports should be reviewed to confirm whether they have been repaired, isolated or otherwise controlled effectively.
Regular user checks remain necessary. An annual expert inspection does not replace the routine reporting and monitoring arrangements required during normal operation. Employees should know how to identify and report visible damage, and the person responsible for warehouse equipment safety should ensure reported defects are assessed promptly. A higher-risk site, a site with frequent vehicle impact or a site experiencing repeated damage may require inspections more frequently than the normal annual interval.
BS EN 15635 uses a risk-based approach to the classification and response to damage. Defects should therefore not be treated as acceptable simply because the warehouse racking remains in use or because no failure has occurred. Damage should be assessed by a competent person, affected areas should be controlled where necessary and repairs or replacement should follow an appropriate technical method. Records should be retained with other relevant safety information, including layout drawings, load specifications, manufacturer instructions, repair records, risk assessments, training records and previous inspection reports. Keeping these documents together helps demonstrate that the warehouse racking is being managed throughout its service life rather than inspected as a one-off exercise.
