Choose the frequency through a documented risk assessment, considering forklift traffic, loading intensity, previous damage, operating conditions and any changes to the warehouse racking. As a minimum, carry out regular visual checks—typically weekly—and arrange a formal inspection by a SEMA-approved or suitably qualified inspector at least annually, increasing the frequency where risk or damage history justifies it.

The right SEMA racking inspection frequency is determined by a documented risk assessment, not by a fixed interval alone. At a minimum, warehouse racking should receive regular visual checks by trained site personnel and a formal inspection by a technically competent, suitably qualified inspector at least every 12 months. More frequent inspections are appropriate where forklift activity, loading intensity, damage history, environmental conditions or operational changes create a higher risk.

The annual inspection provides an independent, detailed assessment of the warehouse racking. It should not replace routine checks by your own team. Daily awareness and regular visual checks help identify damage or unsafe conditions between formal inspections, allowing problems to be isolated and addressed before they affect people, stock or operations.

Factors that should influence the inspection frequency include:

  • Forklift and vehicle activity: Busy aisles, frequent pallet movements, narrow operating clearances and repeated vehicle manoeuvring increase the likelihood of impact damage.
  • Loading intensity: Warehouse racking that is loaded and unloaded continuously generally requires closer monitoring than systems used less frequently.
  • Previous damage: A history of bent uprights, damaged beams, missing safety components or recurring impact indicates that the inspection regime, traffic controls or operator training may need to be reviewed.
  • Load characteristics: Unusual pallet sizes, unstable loads, concentrated loads or frequent changes to the stored products can increase the risk of overloading or poor load placement.
  • Warehouse conditions: Poor visibility, restricted access, uneven floors, temperature variation, moisture, corrosive substances and congested working areas may justify more frequent checks.
  • Changes to the installation: Altering beam levels, adding or removing components, changing load capacities or reconfiguring aisles should trigger a review of the risk assessment and inspection arrangements.
  • Staffing and operating changes: New equipment, new operators, changes in shift patterns or increased use of temporary staff can affect how safely the warehouse racking is used.

A practical inspection programme usually has several levels. Operators should remain alert to visible problems during normal work and report them immediately. Trained, nominated employees should carry out planned visual checks at a frequency set by the risk assessment; many sites use weekly checks as a minimum routine, but the appropriate interval depends on the working environment. A formal inspection should then be completed at least annually by a competent inspector, such as a SEMA Approved Rack Inspector or another professional with demonstrable qualifications and relevant experience.

Where the risk assessment identifies frequent impacts or difficult operating conditions, formal inspections may need to take place more often than annually. The same applies after a significant collision, an unusual load event, a change in use or any concern raised by warehouse personnel. An inspection should also be brought forward if routine checks identify repeated defects or if damage patterns suggest that existing controls are not working effectively.

Inspection frequency should be reviewed after an incident. If warehouse racking is struck by a forklift or other handling equipment, the affected area should be assessed promptly rather than waiting for the next planned inspection. Where damage could affect stability, the relevant section should be unloaded and taken out of use until a competent person has assessed it. Repairs should follow the inspector’s recommendations, and damaged components should not be straightened, modified or returned to service without suitable technical approval.

The inspection schedule should be supported by clear site arrangements. These should include nominated people responsible for routine checks, a simple reporting process, defined escalation arrangements and a method for recording corrective actions. Inspection records should identify the date, areas examined, defects found, risk level, temporary controls, person responsible and completion date. Keeping this information together makes it easier to identify recurring damage and demonstrate that safety responsibilities are being managed systematically.

Frequency alone does not make an inspection programme effective. The inspection must be thorough and should consider the condition of uprights, beams, bracing, connectors, base plates, floor fixings, protection, safety components, load notices and any other parts that affect the safe use of the warehouse racking. The inspector should also consider whether the installation is being used within its design capacity and whether the current layout and working practices match the original assumptions.

It is also important to distinguish between an inspection and maintenance work. An inspection identifies defects and assesses their significance; it does not automatically make the warehouse racking safe. Reported defects should be prioritised, controlled and repaired by suitably competent people. A follow-up check may be required after repairs to confirm that the recommended action has been completed correctly.

To choose or review your frequency, start by documenting the warehouse racking layout, handling equipment, traffic levels, load types, operating conditions and previous inspection findings.
