Any suspected damage should be reported immediately. The affected location should be assessed and, where necessary, taken out of service until a competent person has determined whether it is safe to use, can be repaired or must be replaced. Staff should not straighten, weld, drill or otherwise modify structural components as an improvised repair.

It considers the condition of the structure, the way it has been installed and the way it is being used. The inspector will normally review the rack layout, load information, protection measures, floor fixings and evidence of previous damage or repairs.

When an additional inspection is needed

- A change in operational activity, vehicle type, working method or access equipment.
- An incident, near miss or report from an employee indicating that the system may be unsafe.
Impact damage can be more serious than it first appears. A small bend or displaced connection may reduce load-carrying capacity or affect the alignment of the structure. If the cause or extent of damage is uncertain, the affected bay should be isolated until it has been assessed.
How to decide whether inspections should be more frequent
A risk-based review should consider the amount of vehicle traffic, the competence and working practices of operators, the frequency of loading and unloading, the height and weight of stored goods, the condition of the floor, environmental conditions and the consequences of a structural failure. The review should also consider previous inspection findings and whether repairs have been completed properly.
Where repeated damage is found, improving protection, changing traffic routes, revising operating procedures or providing additional training may be more effective than simply arranging inspections more often. Inspection frequency should be reviewed after these changes to confirm that the controls remain suitable.
Keeping inspection records up to date
Records should show when inspections were completed, who carried them out, which areas were examined, what defects were found and what action was required. Repair records, photographs, load notices, drawings and evidence of follow-up checks can help demonstrate that identified risks have been controlled.
Inspection reports should be available to the people responsible for warehouse safety and maintenance. Open defects should be tracked to completion rather than treated as closed because a report has been issued. After repairs or replacement components are fitted, the system should be checked before the affected location is returned to service.
In practice, the safest arrangement is a combination of regular staff checks, prompt reporting of damage, a competent documented inspection at least every 12 months and additional assessments whenever conditions change. This approach keeps inspection intervals aligned with the actual risks present in the warehouse and supports continued compliance with the manufacturer’s instructions, the site risk assessment and applicable UK health and safety guidance.
