  • Obstructions, poor housekeeping or conditions that could increase the likelihood of a collision.

Checks should be recorded, even when no defect is found. A suitable record normally includes the inspection date, areas examined, person completing the check, defects identified, photographs where useful and the action taken. Records provide evidence that the inspection process is active and help identify recurring damage or patterns requiring preventative action.

Formal expert inspections

A formal inspection is more detailed than a routine visual check. It should be completed by an appropriately experienced and technically competent inspector who can assess the condition of the system, the seriousness of defects and the suitability of any proposed corrective action. The inspection should normally take place at least annually, and sooner where the risk assessment or operating conditions require it.

The inspector will consider the structural condition of the installation, its configuration, loading arrangements, protection and general use. They may also review previous inspection records, repair history, reported impacts, manufacturer information and any changes made since the last assessment. When additional inspections are necessary

  • A collision or suspected collision with a forklift truck or other equipment.
  • Visible damage, even where the damage appears minor.
  • Alteration, extension, reconfiguration or relocation of the installation.
  • A change in pallet type, load weight, beam levels or operating method.
  • Unexpected movement, instability, settlement or damage to the floor or fixings.
  • A near miss, falling load or report from an employee.
  • Fire, flooding or another event that may have affected materials, fixings or structural performance.

Damaged components should not be straightened, welded or otherwise repaired without an appropriate assessment and an approved repair method. Where a defect presents an immediate risk, the affected location should be unloaded, isolated and clearly identified until it has been made safe. Employees should understand that reporting damage promptly is part of the control process and that a location should not be returned to service simply because it appears usable.

How risk affects inspection frequency

A weekly schedule is a minimum starting point rather than a substitute for risk assessment. More frequent checks may be appropriate where there is intensive forklift traffic, restricted visibility, frequent loading and unloading, high or irregular loads, limited aisle space, a history of impacts or a workforce that changes regularly. Harsh conditions, poor housekeeping and frequent layout changes can also justify increased monitoring.

The responsible person should review the inspection frequency when the warehouse operation changes or when inspection findings show repeated defects. A pattern of impact damage, for example, may require improved traffic management, additional protection, revised training or more frequent checks rather than repeated repairs alone.
