How frequently should warehouse racking inspections be conducted?
Warehouse racking should receive regular visual inspections, typically weekly or at another risk-based interval, with a documented expert inspection at least every 12 months. Higher-risk conditions, including frequent impact, heavy use or changes to the storage system, may require more frequent inspections.
Warehouse racking should be checked routinely through visual inspections, with the inspection interval based on the risks present in the warehouse. In most workplaces, this means regular checks by trained staff, often weekly or at another documented risk-based interval, together with a detailed inspection by a competent person at least every twelve months. Higher-risk conditions, damage or changes to the storage system may require more frequent inspections.
What the HSE guidance requires
The Health and Safety Executive expects employers to maintain storage equipment in a safe condition and to arrange systematic inspections. Guidance commonly applied to warehouse racking recommends that:
- Employees report any damage or safety concern as soon as it is noticed.
- A designated person carries out regular visual checks at an interval determined by the site risk assessment.
- A competent person completes a more detailed inspection at intervals of no more than twelve months.
- Any serious damage is dealt with immediately, with the affected area taken out of use where necessary.
The twelve-month interval is a maximum, not a universal schedule. It does not replace routine checks by warehouse staff, and it may be unsuitable for sites where the storage system is exposed to frequent impacts, intensive handling or other elevated risks.
When more frequent inspections may be needed
The appropriate frequency depends on how the warehouse operates and the condition of the equipment. A shorter interval may be appropriate where there is:
- Frequent movement of forklifts, pallet trucks or other handling equipment close to the structure.
- A history of collisions, damage or repeated repairs.
- High stock turnover or intensive loading and unloading.
- Heavy, unusual or unevenly distributed loads.
- Outdoor, damp, corrosive, dusty or otherwise harsh working conditions.
- Limited visibility, poor housekeeping or restricted access around the storage system.
- Changes to the layout, beam levels, load capacity, components or method of use.
- New staff, altered working practices or evidence that operating procedures are not being followed.
A risk assessment should consider these factors and record the chosen inspection interval. The decision should be reviewed if the warehouse layout, equipment, workload or operating conditions change.
What routine visual checks should cover
Routine checks should be practical and consistent rather than a quick glance. The person carrying them out should look for bent or damaged uprights, beams, bracing, connectors, guards, floor fixings and other structural components. They should also check for displaced components, missing safety devices, unstable loads, overloading, poor pallet condition and items projecting into access aisles.
Any defect should be recorded clearly, including its location, description and apparent severity. Damage should be assessed against the inspection system used on site, and the appropriate action taken. This may include monitoring, arranging a repair promptly or unloading and isolating the affected section immediately.
When an immediate inspection is required
A further inspection should be arranged after a significant impact, even if no obvious damage is visible. The same applies after alterations, relocation, reconfiguration or the introduction of different loads. A storage system can remain in an unsafe condition when damage is concealed, components have been incorrectly refitted or the revised arrangement no longer matches the design and load information.
Following an impact, prevent further use of the affected area until it has been assessed by a suitably competent person. Do not straighten, weld or improvise repairs to damaged components unless the repair method has been properly specified and authorised. Reoccupation should only take place once the necessary remedial work has been completed and the area has been confirmed as safe.
Why an annual expert inspection is not enough on its own
A detailed annual inspection provides an important independent review, but it cannot identify damage that occurs between inspection dates. Forklift impacts, overloaded beams and missing safety components can create a risk immediately. Regular checks by people who work around the system every day provide an earlier opportunity to identify and report problems.
The competent person’s inspection should examine the overall condition of the installation, the way it is being used and the effectiveness of existing controls. It should also review inspection records, previous repairs, load notices, protection measures and any changes made since the last assessment. A written report should identify defects, prioritise actions and state whether follow-up work is required.
How to set a suitable inspection schedule
- Assess the likelihood and potential consequences of damage or failure.
- Consider traffic routes, handling equipment, workload, loads, environment and staff competence.
- Set a routine visual inspection interval that reflects those risks.
- Define who carries out the checks and what findings must be escalated.
- Arrange a documented competent-person inspection at least every twelve months, or more often where the risk assessment requires it.
- Review the schedule after an incident, significant change, repeated defect or change in working conditions.
Inspection records should show the date, area checked, person responsible, findings, actions required and completion of remedial work. Keeping these records demonstrates that inspections are planned and managed rather than carried out only after a problem occurs.
For most warehouses, the safest approach is a combination of frequent in-house visual checks, immediate reporting of damage and a thorough inspection by an experienced competent person at least annually. Where the risk is higher, the inspection programme should be tightened to match the conditions rather than relying on a standard calendar interval.

A further warehouse racking inspection should be arranged after any significant impact, even when visible damage appears minor or absent. Forklift contact can distort uprights, loosen connections or affect floor fixings in ways that are not obvious during a routine visual check.
Isolate the affected section where necessary, report the incident and arrange assessment by a competent person. Do not straighten, weld or make improvised repairs. The area should only return to service once any required repair has been completed and its safety has been confirmed.
